The importance of technicians at Ascom
Ascom focuses on smart data solutions, with a focus on alarm systems. The company focuses primarily on the healthcare sector, but is also active in other industries, such as business. ‘Smart data solutions’ is a broad term, so Frits gives an example: “An example we are proud of is our contribution to quiet ICUs. There, our systems ensure that doctors and nurses get important notifications without constant beeps going off. That makes it a lot more comfortable for patients,” Frits says. Ascom’s technicians are indispensable for these smart solutions.
The challenge: inefficiencies and errors in timekeeping
Previously, Ascom worked with outdated systems, such as an old version of Microsoft Dynamics and Field Vision. Hour registrations were exported to Excel and then manually entered into AFAS. This was not only time-consuming, but also error-prone. In addition, technicians had little insight into their recorded hours and leave.
“The biggest problem was how to get data from Dynamics 365 into AFAS. It had to be faster, more reliable and with fewer errors,” Frits explains. “Especially for our technicians, so that their hours are correct and their overtime is paid correctly.”
The process: from ServiceNow to AFAS
1. Time tracking: Technicians enter their time for time, overtime and leave through ServiceNow.
2. Data transfer: This data is transferred to Dynamics 365.
3. BrynQ link: The BrynQ link extracts the written hours from Dynamics 365 and transforms them into leave entries, leave corrections and post-calculation via Ascom’s company-specific scheme. These are then uploaded to AFAS where they are automatically included in payroll processing.
